Standing Ovation provides a team of creative specialists to partner schools in various regions across the UK. So far, the project has contributed to the lives of more than 2500 pupils.
We are seeking an outstanding individual, to join the Standing Ovation team. We want you to bring an exceptional standard of professionalism, fantastic communication skills and most importantly a deep commitment to making the world a better place.
You will lead on the operational side of the business, ensuring the smooth running of day to day operations.
Purpose of the Role:
The Operations Manager will work closely with the CEO, supporting the organisation to develop new business contracts and sustain partnerships across the education and voluntary sector.
The successful candidate will manage the growth and success of the team of freelance practitioners, and overseeing the daily workings of Standing Ovation Project operations. You will develop operational systems and processes which streamline processes.
The Operations Manager will work to maintain a high-quality standard of service delivery to clients, schedule delivery of our services, and monitor the performance of the business.
Job Duties:
Contract Management
-
Monitors service standards, liaising with the clients to fulfil the objections of the business to them

Manage the day-to-day communication with Clients

Ensure that the meetings are scheduled and necessary paperwork are prepared for the CEO for major meetings

Travel to meet new clients and present/pitch for new work

Communicates with all relevant employees to ensure delivery times are met

Plans, schedules, and reviews workload to make sure targets are being met on a cost-effective basis

Ensures the schedules are up to date and assign employees to each client projects

Creates and maintain a detailed schedule for the business

Communicates any changes to clients in a timely manner
Finance

Develop new finance systems which record incoming payments and outgoing payments, ensuring all invoices are paid on a timely basis and follow up outstanding debts from clients

Ensure all expenses are recorded accurately and paid on time with suitable evidence collated

Work with accountant to set up the pension scheme for Standing Ovation employees
HR

Create new contracts for freelance practitioners, safer recruitment checks have been carried out and plan and organise safeguarding training

Create systems to track training and DBS forms

Develop and maintain policies and procedures for the organisation in line with legislation; Safeguarding, Mental Health First Aid, Health and Safety and ensure that all partners and employees receive a copy

Develop an official Standing Ovation code of conduct for all staff and is part of the induction process

Handles complaints and accolades with professionalism and in line with the values of Standing Ovation

Confirms that health and safety regulations are followed

Provides guidance to employees
Strategic Development

Work closely with the CEO to develop a Business Strategy

Ensure that all the KPIS and outcomes from the are tracked on an appropriate system/CRM or software such as monday.com/ASANA/Trello
Roles and responsibilities may include other aspects not listed to help develop the business as and when needed.
Person Specification
Required:
-
A minimum of three years’ experience in a general office environment.
-
Exceptional organisation, planning and administration skills.
-
Highly computer literate: confident and proficient with Word, Excel, PowerPoint, Outlook, internet and data entry.

Self-motivated, punctual, reliable, able to maintain confidentiality.
-
Excellent written and spoken (face to face and phone) communication skills.
-
Excellent numeracy skills.
-
Ability to show initiative in developing the role and to work with minimal supervision.

Ability to work flexibly in a small team, building strong day-to-day relationships with colleagues.
-
Able to manage a varied workload, balancing scheduled tasks with requests for assistance from the team, which may have short deadlines.

Experience of managing teams.
Desirable:
